Q: I have just completed a summer internship; what should I include in the report I have to present?

I'm going to my last year at the Faculty of Engineering in an Egyptian University; this summer I had my training (summer internship) at a multinational US company and at the end of my training program I was asked to write a report that would include what I've learnt, what I would have loved to learn, but had no time to etc...Being the very first time for me to ever write such a report I was wondering if you could help with it. If you could give me a hint as to the form it should really be in, what it should include taking into consideration that I want to make a good impression with my report since I do hope to get my self a job there after graduation .

It is not clear from your message how long the report should be; however we imagine it should be 2 to 3 pages long.

The following sections are proposed:

Objective of this report
Explain in 2 to 3 lines why you are presenting this report / why the reader should read it (as sort of normal introduction); this will include the name of the employer/company and the duration you spent there

About xxxxxxxxx (where xxxx is the company name)
here you will present the company, what it does and its activities around the world in the first paragraph(s); then you will proceed to present its operations in Egypt where you have been training. You should also address the number of staff it has in Egypt, main departments, how long it has been in Egypt and if you were the first one to train there or if they have a regular summer training program. This is to demonstrate you understand the business, the organization and the challenges it is facing.

My role and activities
in this third section you will describe the unit/department you have been assigned to and what you were supposed to / actually did. IF there were different things over time, then describe them in detail.
If you learnt specific things/skills/tools you should mention them at the end of this section.

Observations
in here you can comment / present your opinion about what you saw or felt. Including the positives and the negatives; for instance you may have not been assigned a direct supervisor... or at times you had nothing to do.... was the company introduced to you in a formal way or were you left to discover what it does and its activities...

Suggestions:
In light of your observations / comments you may have suggestions on how the company should handle next year's summer interns/trainees to maximize the benefits of both the company and the person concerned.
Also if during your stay you have some 'smart' ideas on how to improve certain things/processes please feel free to include them (eg. how to more efficiently track open issues; scheduling of staff etc.., using IT to automate a time consuming manual process etc...)
Please use short and complete sentences; spell check your document, and avoid using the same words repeatedly (eg. do not use the word 'good' 4 times in the first 10 lines. but use good, the positive thing, commendable etc..). Finally the report should be presented to the employer with a short nicely written cover letter expressing your gratitude for the opportunity and how you will be delighted to be employed there upon graduation.
